The purpose of this policy is to establish guidelines for the use of community pickleball courts and the equipment room. These rules ensure a safe, fair, and enjoyable experience for all community members.
General Rules
1. Respect and Courtesy: All users must demonstrate respect and courtesy towards other members, staff, and facilities at all times.
2. Compliance: Users must comply with all posted signs and staff instructions.
3. Damage and Cleanliness: Users are responsible for any damage they cause and are expected to clean up after themselves.
4. Safety: Safety is a top priority. Before setting up the equipment, players are responsible for sweeping any debris off the courts. Brooms are available for use in the equipment room. Be aware of any physical limitations and the risks associated with playing any sport. Courts and equipment are only available for use during fair weather conditions. Any inclement weather including high winds, rain, thunder or lightning prohibits the use of the Pickleball Courts and equipment. The courts may also not be used if water is pooled on the courts. A large squeegee can be found in the equipment room and used to remove pooled water from the courts . The Westgate Community Association will not be liable for any injuries sustained during the transport and setting up or taking down of equipment, nor will the association be responsible for any injuries sustained during play. Members assume all risk when choosing to use the community pickleball courts and equipment.
Any unsafe behavior or conditions should be reported to community staff immediately at Pickleball@westgatecommunity.ca.
Access to Pickleball Courts
1. Eligibility: There are two pickleball courts on the south side of the rink located next to the Westgate Community Hall. Access to the pickleball courts is restricted to community members in good standing. Members may use their own equipment with the understanding that they assume all risk when using the courts and that priority access will be given to pass holders booking online. Pickleball Passes can be purchased through Westgate Community Association and grant holders access to the courts and pickleball equipment.
2. Hours of Operation: The courts are available from 8:00 AM to 9:00 PM daily. No play is allowed outside of these hours.
3. Reservations: Courts may be reserved up to one week in advance. Reservations are a minimum of one hour, to a maximum of two hours, per member per day and are subject to availability. Bookings can be made online (https://courtbooking.westgatecommunity.ca/Web/index.php).
There are two outdoor courts available for booking online, titled Court 1 and Court 2.
Court 1: Located at the Westgate Community Association on the hockey rink. Court 1 is parallel to the playground
Court 2: Located at the Westgate Community Association on the hockey rink. Court 2 is parallel to Westgate Elementary school
A valid membership is required, along with your membership number. If assistance is required please reach out to Pickleball@Westgatecommunity.ca. Preference will be given to Pickleball Pass holders.
4. Walk-Ins: When not reserved, courts are available on a first-come, first-served basis.
5. Guest Policy: Members may bring up to three guests per visit. Members are responsible for their guests’ behavior.
6. Court Maintenance: Courts will be closed for maintenance periodically. Notices will be posted in advance. Users should ensure any debris is removed from the courts prior to starting to play on the courts.
7. Proper Attire: Athletic shoes and appropriate sports attire are required.
Access to Equipment Room
1. Eligibility: Access to the equipment room is restricted to community members aged 18 and older. Minors must be accompanied by an adult.
2. Unique Access Code: Once a WCA Pickleball Pass is purchased and a signed copy of the Pickleball User Policy has been received, members will be provided with a unique access code for the equipment room within 3 business days. This code is valid only during the pickleball court hours (8:00 AM to 9:00 PM) and will expire at the end of the pickleball season. Tentatively set for September 30th, weather dependent.

Code Confidentiality: Codes must not be shared under any circumstances. Failure to comply will result in the revoking of pickleball and equipment room privileges

Responsibility: Any missing equipment or damage occurring in the equipment room will be the responsibility of the last user ID used to enter the room. The equipment room must never be left unattended when the door is open. When you’re done with the room ensure the door is securely closed and locked.
3. Hours of Operation: The Pickleball equipment room can be accessed starting at 8:00 AM until 9:00 PM daily.
4. Check-In / Check-Out Procedure: Members must sign out equipment using the sheet in the equipment room with their name and time. When returning the equipment log the time of return and note any feedback on the state of the court or equipment
5. Equipment Use: All equipment must be used responsibly and returned in good condition. Any damage or malfunction should be reported immediately. Renters are responsible for the set up and take down of the equipment.
6. Time Limits: Equipment may be checked out for a maximum of two hours. Extensions may be granted based on availability.
7. Sanitization: Members are encouraged to sanitize equipment before and after use. Sanitizing wipes will be available in the equipment room.
8. Storage: Personal belongings should not be stored in the equipment room.
Conduct and Compliance
1. Violations: Violations of this policy may result in a warning, suspension, or revocation of access privileges.
2. Reporting: Any concerns or violations should be reported to community staff immediately at Pickleball@westgatecommunity.ca
3. Review and Amendments: This policy is subject to periodic review and amendments by the community board.
